Job Description:

SUMMARY

The Forestry Program Coordinator is responsible for providing administrative, financial, and program support for the Forestry Department across all operational locations. The coordinator supports the Director of Forest Management through data tracking, reporting, contract administration, and coordination of department logistics. This role serves as a key point of contact for internal and external partners, helping ensure the effective management and stewardship of Tribal forest resources.

PRINCIPAL ACTIVITIES & RESPONSIBILITIES:

  • Provides administrative and operational support to the Forestry Department at all locations.
  • Develops and maintains organized recordkeeping systems to track forestry projects, contracts, and activities.
  • Assists with budget reconciliation and ensures accurate financial tracking for departmental expenditures.
  • Reviews and approves purchase requests; monitors order completion and maintains supporting documentation.
  • Schedules meetings, travel, and trainings for the Forestry staff.
  • Assists with grant reporting, data compilation, and performance tracking for funded forestry projects.
  • Attends meetings, trainings, and workshops as directed.
  • Maintains department supply inventory; ordering materials as needs and conducting annual inventory audits.
  • Prepares, formats, edits, and distributes correspondence, reports, and official communications.
  • Tracks, compiles, and reports on scaled timber sale volumes; reconciling data with mill payment reports and contractor invoices.
  • Monitors and processes payments related to forestry contracts and projects.
  • Maintains accurate records for rights-of-way and easements across Tribal forestlands.
  • Administers and tracks compliance with the Forestry Department’s Forest Products Use Policy.
  • Provides administrative assistance to the Department of Natural Resources Administrative Coordinator as directed.
  • Supports onboarding of new Forestry Department employees and coordinate orientation logistics.
  • Collaborates efficiently and effectively while consistently demonstrating professionalism and maintaining positive, respectful relationships with internal teams, external partners, and Tribal members.
  • Other duties as directed by management.

LEVEL OF AUTHORITY & RESTRICTIONS

This position requires working independently without overseeing others, with minimal authority in decision-making.

 

PHYSICAL & MENTAL DEMANDS

  • Requires the ability to manage moderate levels of stress arising from schedules, workload, diverse or adversarial stakeholders, etc.
  • Must be able to walk, talk, hear, use hands to handle, feel or operate objects, tools, or controls, and reach with hands and arms.
  • Vision abilities required by this job include close vision and the ability to adjust focus.
  • May be required to push, pull, lift, and/or carry up to 40 pounds.
  • Must be able to stand, walk, reach with hands and arms, and climb or balance.

 

WORKING CONDITIONS & ENVIRONMENT

  • Will require working occasional nights and/or weekends.
  • Moderate noise level with frequent interruptions and distractions.
  • Exposure to loud sounds and distracting noise levels.
  • Occasionally exposed to conditions such as those found in variable weather conditions.
  • Must be willing and able to travel both locally and within the CTCLUSI service delivery area.

Experience and Skills:

MINIMUM JOB REQUIREMENTS

  • Must be 25 years of age or older per our vehicle use policy.
  • An associate’s degree in forestry or an equivalent combination of education and experience that demonstrates the knowledge, skills, and abilities to perform the job.
  • Must have four (4) years’ experience in general office and basic accounting or combination of education and experience.
  • Must have a valid driver’s license and be able to be insured to drive Tribal Government vehicles.
  • Experience and proficiency in the use of Microsoft products (Excel, Outlook, PowerPoint, Word, etc).
  • Strong written and verbal communication skills.
  • Ability to communicate clearly and effectively in English, verbally, in writing or by other acceptable means.
  • This position will be subject to pre-employment drug testing and criminal history background check, which will include fingerprinting.
  • Must have employment eligibility in the U.S.
  • Indian preference will be observed in the hiring process.
