Job Description:

SUMMARY

Under the direct supervision of the Senior Executive Administrative Assistant/Digital Process Manager, this position provides administrative and front office support to Tribal Government. This position also provides support for special projects, activities and events for Tribal Government.

PRINCIPAL ACTIVITIES & RESPONSIBILITIES

  • Perform daily business of the Tribal Government Front office.
  • Provide administrative needs for Tribal Government and administration staff.
  • Greet staff and guests and direct to departments per policy.
  • Manage RSVP list for Tribal Government events.
  • Assist with Administration, events, activities, mailings and special projects.
  • Answer phones, effectively relay flow of information and communication to staff and departments.
  • Create and use spreadsheets for administration as assigned.
  • Manage conference rooms, Tribal Community Center, Tribal Hall and Gregory Point Use Applications and calendars. This includes ordering linen as needed.
  • Maintain front lobby, front conference room, front office and mail room. Check each morning and maintain orderly thought the day.
  • Assist with vehicle check in and out.
  • Regular ordering of office supplies, breakroom supplies and business cards.
  • Manage mail room supplies, regular stock supplies and inventory. Maintain a stock list. Complete annual supply inventory.
  • Retrieve and disperse electronic and paper information flow to staff.
  • Operate fax machine, copiers, and scanners.
  • Sort and distribute mail and maintain Tribal Government mail log.
  • Ability to work independently as a team player.
  • Assist with setting up conference calls, video conferencing, presentations and power points in the front conference room at times.
  • Work in Laserfiche with Purchase Request, Tribal Hall, Tribal Community Center and Gregory Point Use Applications. Act as a backup for some Laserfiche projects.
  • Maintain a good attendance record as outlined in CTCLUSI Handbook.
  • Other duties as assigned.

LEVEL OF AUTHORITY & RESTRICTIONS

  • This position is not a supervisory position.

PHYSICAL & MENTAL DEMANDS

  • Must be able to walk, talk, hear, use hands to handle, feel or operate objects, tools, or controls, and reach with hands and arms.
  • Vision abilities required by this job include close vision and the ability to adjust focus.
  • Must be required to push, pull, lift, and/or carry up to 40 pounds.

WORKING CONDITIONS & ENVIRONMENT

  • This is a full time position working in Tribal Government.
  • The noise level in the work environment is usually moderately quiet.

Experience and Skills:

MINIMUM JOB REQUIREMENTS

  • Must be at least 18 years of age.
  • Must possess a High School diploma (or GED equivalent).
  • Must have a valid driver's license and adequate transportation required.
  • Must have 2 or more years of professional facilities management/scheduling or equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.
  • Must have at least one year of mail room experience including package mailing with UPSP, FedX and UPS.
  • Must have 2 or more years’ experience in front office, reception experience.
  • Must have 2 or more years’ experience with digital forms.
  • Excellent computer skills required in Microsoft Windows environment, including Excel, Power Point and Publisher. Will be required to pass an online computer competency test.
  • Must possess good written and communication skills.
  • Must have a working knowledge of scanners, photocopiers, Outlook email and Outlook calendar scheduling.
  • Ability to complete projects in a timely manner.
  • Good oral and written communication skills with the ability to multitask and problem solve.
  • Must possess reasonable ability to communicate in English.
  • This is a covered position and will be subject to pre-employment drug testing and criminal history background check.
  • Must have employment eligibility in the U.S.
  • Indian preference will be observed in the hiring process.
