Job Description:

SUMMARY

The position provides support for functions of the Confederated Tribes of Coos, Lower Umpqua and Siuslaw Indians (CTCLUSI) Tribal Court, Peacegiving Court, and Wellness Court.

 

PRINCIPAL ACTIVITIES & RESPONSIBILITIES

Participate with and/or assist the Chief Judge, pro tem judges, and the Tribal Court Administrator /Peacegiving Coordinator in:

 

  1. A. Court Clerk duties:
  • Maintain information management system for correspondence, documents and records.
  • Maintain the Tribal Court docket system.
  • Attend all sessions of Tribal Court.
  • Administering oaths to witnesses.
  • Maintain a record of all Tribal Court proceedings and sessions of Tribal Court.
  • Provide assistance in drafting documents for the Tribal Court, Tribal Police and Tribal members as required by the Chief Judge or Associate Judge.
  • Collect fines, issue receipts and deposit funds into the Tribal accounting system.
  • Prepare check requests and/or requests for payments for the Tribal Court.
  • Handling all incoming and outgoing mail for the Tribal Court.
  • Providing security for both physical and computer records for confidentiality and destruction.
  • The Court Clerk duties shall include Attorney Bar Certification duties.
  • Handle the distribution of Tribal Code to various State and County legal departments, Law Libraries, national websites and interested private individuals.
  • Responsible for the maintenance of all Tribal Court Forms.
  • Assists with keeping the Tribal Court portion of CTCLUSI website up-to-date.
  • Maintain appearance standards as outlined in CTCLUSI policies.
  • Must be able to interact with Tribal members and the general public in a courteous, professional, and efficient manner.
  • Communicate effectively both orally and in writing.
  • Maintain a good attendance record.
  • Other duties as directed by management.

 

  1. B. Peacegiving Support duties
  • Developing and distributing outreach materials, press releases and informational packets.
  • Developing and conducting informational surveys for Peacegiving Court.
  • Preparation of quarterly reports for Peacegiving Court Grants.
  • Qualitative and quantitative data gathering for grants, etc.
  • Developing and using a systematic follow-up with Peacegivers.
  • Setting up and conducting meetings with Peacegivers and stakeholders.
  • Developing protocols and procedures based on surveys, stakeholders meetings, etc.
  • Issuing monthly press releases and other media materials on the Peacegiving Court.
  • Trainings related to Peacegiving, restorative justice and mediation.
  • Developing contacts and engaging in outreach to the five-county area courts, law enforcement and social service agencies relevant to Tribal members’ use of Peacegiving Court.
  • Presentations for outreach agencies.
  • Other Peacegiving Court duties as directed by management.

 

  1. C. General
  • Maintain appearance standards as outlined in CTCLUSI policies.
  • Interact with Tribal members and the public in a courteous, professional, and efficient manner.
  • Communicate effectively both orally and in writing.
  • Maintain a good attendance record.

 

PHYSICAL & MENTAL DEMANDS

  • Must be able to walk, talk, hear, use hands to handle, feel or operate objects, tools, or controls, and reach with hands and arms.
  • Vision abilities required by this job include close vision and the ability to adjust focus.
  • Must be required to push, pull, lift, and/or carry up to 40 pounds.

 

WORKING CONDITIONS & ENVIRONMENT

  • The noise level in the work environment is usually moderately quiet.

  

HOURS

  • 20 hours per week.
  • Generally Monday through Friday with possible occasional evening and weekend work.

Experience and Skills:

MINIMUM JOB REQUIREMENTS

  • Must be at least 18 years of age.
  • Must possess a High school diploma or GED equivalent.
  • Paralegal Certificate/Degree or Associates degree, or combination of legal education or employment in a related field required.
  • Minimum two years’ work experience required.
  • Word processing and computer experience required with knowledge of Microsoft Office and Adobe Acrobat.
  • Must be eligible to become Oregon registered notary within 30 days of accepting position.
  • Must be available to attend Peacegiving, restorative justice, mediation and court trainings.
  • Demonstrated oral and written communication skills, including proper grammar and spelling.
  • Demonstrated excellence in organizational skills.
  • Must have working knowledge of and the commitment to perform in accordance with the principles of fairness, objectivity, impartiality and confidentiality.
  • Must have ability to file and maintain rapid retrieval system.
  • Must possess reasonable ability to communicate in English.
  • This is a covered position and will be subject to pre-employment drug testing and criminal history background check which will include fingerprinting.
  • Must have employment eligibility in the U.S.
  • Indian preference will be observed in the hiring process.
